What are the best practices for conducting on-site inspections?

Short answer: prepare with the risk assessment, use a structured checklist, capture evidence as you go, involve the people who work there, rate severity honestly, give every finding an owner and a date, and follow up. The tool should make each of these steps faster on a phone, not slower.
Before the inspection
- Know the risk profile. Read the risk assessment for the area and the findings from the last inspection. You are checking whether controls are in place, not discovering the site from scratch.
- Choose the right checklist. A forklift pre-use check, a warehouse walk-through and a confined-space entry audit are different inspections. Use templates per equipment or area type.
- Set the scope and time. Say what is included and excluded, and how long it will take.
- Inform and involve. Tell the supervisor, and ask a worker from the area to walk with you. They know where the problems are.
- Prepare your device. Battery full, camera lens clean, and the inspection and previous findings opened while you still have signal, so they are available if the connection drops.
During the inspection
- Follow the process flow. Walk the route material and people take: delivery, storage, processing, dispatch, waste. Hazards hide at the transitions.
- Look, ask, verify. Observe conditions, ask workers how the job is really done, and verify controls (test the emergency stop, check the inspection tag date).
- Capture evidence immediately. Take the photo and record the location and severity while you are standing there. Do not rely on memory or a notebook.
- Describe findings so a stranger could act. "Emergency exit E3 blocked by two pallets of packaging, warehouse north aisle 4, photo attached" beats "housekeeping".
- Rate severity consistently. Use the same scale as your risk assessment so priorities are comparable across sites.
- Record positives. Good practice deserves a line in the report and reinforces the behaviour you want.
- Fix what can be fixed now. If a critical hazard can be removed on the spot, do it and document that it was done.
After the inspection
- Assign actions before you leave. Every finding gets an owner, a due date and a priority, agreed with the supervisor.
- Report the same day. A report sent a week later is already stale. When the PDF is built from the findings you recorded, same-day delivery is normal.
- Follow up and measure. Track open and overdue actions, verify closure, and compare with the next inspection. Feed recurring findings back into the risk assessment.

Legal minimums to keep in mind (Germany and EU)
Regular inspections are part of the employer's duties under the German Occupational Safety Act (ArbSchG §3 and §5) and the Industrial Safety Ordinance (BetrSichV) for work equipment, with specific intervals in DGUV rules (for example DGUV Vorschrift 3 for electrical equipment).
