Team Collaboration
Set up your team, manage roles, and collaborate effectively in QuickInspect and YachtInspect.
User Roles and Permissions
The app uses four user roles with different permission levels:

Roles are displayed with color coding throughout the app:
- Free -- gray
- Standard -- green
- Key User -- blue
- Admin -- orange
Note
There is no dedicated Settings screen. All settings -- including team and company configuration -- are accessed from the Profile tab in the bottom navigation.

Inviting Team Members
QR Code Invitations
Admins can invite new team members using QR code invitations. Generate a QR code from within the app and share it with the person you want to invite. They scan the code to join your company.
Tip
QR code invitations make it easy to onboard team members in person -- no need to type email addresses or share invitation links.
Company Seat Limits
Company accounts have configurable seat limits that control how many users can be added at each role level:
- maxStandardSeats -- the maximum number of Standard role users
- maxKeyUserSeats -- the maximum number of Key User role users
Admins manage these limits as part of the company subscription.
Assigning Users to Products and Findings
Team members can be assigned to specific products and findings. This controls who has access to which data and helps distribute work across the team.
- Assign users to products to grant them access to that product's data
- Assign users to findings to designate responsibility for follow-up
Notification Subscriptions
Users can configure their notification preferences from the Profile tab:
- Go to the Profile tab
- Tap Notifications
- Configure which events you want to be notified about
This ensures team members stay informed about relevant updates without being overwhelmed by unnecessary alerts.
Company Branding
Company accounts support branding customization that applies across generated reports:
- Company logo -- appears on report headers and cover pages
- Company colors -- used for report styling
- Header/footer configuration -- custom text and layout for PDF reports
Two-Factor Authentication Enforcement
Admins can enforce 2FA for the entire company or specific roles:
- Require 2FA for all users or only for specific roles
- Set a grace period that gives users time to set up 2FA before enforcement takes effect
Warning
When 2FA enforcement is enabled, users who have not set up 2FA within the grace period will be required to configure it before they can continue using the app.
AI Configuration
Company accounts can configure AI behavior:
- Set company AI instructions that guide how AI features respond for your organization
- AI usage is subject to limits based on subscription tier
The app uses Vertex AI / Gemini for all AI features.
Best Practices
- Use consistent role assignments: Admins for management, Key Users for team leads, Standard for field workers
- Review team member access regularly to ensure appropriate permissions
- Enable 2FA enforcement for sensitive inspection environments
- Configure company branding before generating client-facing reports
- Use QR code invitations for fast onboarding of new team members
