AI Tools Tutorial
QuickInspect and YachtInspect include AI features powered by Firebase Vertex AI (Gemini). The AI lives inside the Report Designer as a Chat Panel and can analyze images, findings data, and PDF documents to help you build reports faster.
Opening the AI Chat Panel
- Open a report in the Report Designer (via the Reports tab, the third tab in the bottom navigation).
- Tap the AI Chat button in the toolbar to open the Chat Panel.
- The panel appears alongside the editor canvas.
The Chat Panel is context-aware -- it has access to the current report's images, findings data, and attached documents.
Sending Prompts
You have two input methods in the Chat Panel:
- Text input: Type your question or instruction directly.
- Speech-to-text: Tap the microphone button and dictate your message. The transcribed text appears in the input field for review before sending.
Type or dictate your prompt, then tap Send. The AI processes your request and returns a response in the chat.
Tip
Be specific in your prompts. Instead of "analyze my report," try "suggest which findings table columns to show based on my data" or "describe what is visible in the attached images."
Image Analysis
The AI can analyze images attached to the report. When you ask about images, the AI will:
- Identify objects, conditions, and details visible in each image
- Suggest where to place images within the report layout
- Provide descriptive text you can use in image captions or report body
To use image analysis, reference images in your prompt -- for example, "analyze the attached photos and suggest placements."
Findings Analysis
The AI analyzes your findings data and can:
- Suggest which table columns to display (e.g., show the cost column only if cost data is present)
- Recommend table configurations based on the data content
- Suggest filters by status, priority, date, system, or title to focus the findings table
This is especially useful when you have many findings and want the AI to help decide how best to present them.
PDF Document Analysis
If you have attached PDF documents, the AI can analyze their content, provide summaries, and answer questions about what they contain.
Applying AI Suggestions
When the AI suggests changes to your report (such as column selections, filters, or element placements), you can review the suggestion in the chat and then apply it. The AI does not modify your report directly -- you always review and confirm before changes take effect.
Company AI Instructions
Admins can configure company-specific AI instructions that provide custom context for every AI interaction within the company. These instructions tell the AI about your organization's terminology, preferred formats, regulatory frameworks, or industry-specific context.
To configure company AI instructions:
- Go to the Profile tab (the fifth tab in the bottom navigation).
- Open company settings (requires Admin role).
- Find the AI instructions field and enter your custom context.
Note
Company AI instructions are shared across all users in your company. Only Admins can edit them.
Usage Limits
AI usage is metered with a token-based system at two levels:
Per-User Daily Limit
- Default: 100,000 tokens per user per day
- Resets daily
- Admin users are exempt from the daily limit
Per-Company Monthly Limit
- Default: 1,000,000 tokens per company per month
- Resets monthly
- Applies to all users in the company
Warning Thresholds
| Threshold | Behavior |
|---|---|
| 80% consumed | Warning notification |
| 95% consumed | Critical warning notification |
| 100% consumed | Hard stop -- AI features become unavailable until the limit resets |
Warning
When the hard stop is reached, AI features are disabled until the limit resets. Monitor your usage and plan accordingly.
