Photo Documentation Tutorial

Photos are a core part of the records you keep in QuickInspect and YachtInspect. This tutorial covers attaching photos, browsing the photo gallery and viewing image details in both apps, and -- in YachtInspect -- generating photo reports, excluding images from reports and placing photos with the Image Table element.

Attaching Photos

QuickInspect QuickInspect only

In QuickInspect, photos attach to actions, incidents and inspections (and to assets):

1. Open the record -- for example an action from Actions in the bottom bar, an incident from Incidents, or an inspection from Inspections.
2. Find the photo section of the record (on an inspection, Upload Image while you answer the checklist).
3. Tap to add a photo -- capture a new image with your camera or select one from your device gallery.

YachtInspect YachtInspect only

1. Open a finding from the Findings tab in the bottom bar.
2. In the finding detail view, look for the photo/file attachment section.
3. Tap to add a photo -- capture a new image with your camera or select one from your device gallery.

In YachtInspect, photos can also be linked to vessels (products) and reports, not just findings.

Photo fields

Each attached photo has the following fields:

• Title: a name for the photo
• Description: text describing what the photo shows (short and long description)
• Sort index: controls the display order of photos within the record

Photo Gallery

The Gallery displays photos in a grid layout -- in QuickInspect under More › Records › Gallery, in YachtInspect on the Lists tab. You can scroll through thumbnails and tap any image to open the full detail view.

Viewing Image Details

Tap a photo in the gallery to open Image Details. This view shows:

• The full-size image
• Title and description fields
• The record the image is linked to
• Options to edit the title, description, or sort order, to annotate the image and to analyse it with AI

Excluding Images from Reports YachtInspect only

Sometimes you need to keep a photo in the system for reference but exclude it from the generated report. Each photo has a noShowForReports option:

1. Open the image detail view.
2. Toggle the "exclude from reports" option on.
3. The photo remains attached to the finding but will not appear in any generated PDF, Photo Report, or Final Report.

Creating Photo Reports YachtInspect only

A Photo Report is a dedicated export type that presents all photos in a structured layout:

1. Open your report in the Report Designer (via the Reports tab).
2. Tap Export and select Photo Report.
3. The system generates a PDF containing all included photos (those not marked as excluded) in an organized layout.

Photo Reports are useful when you need a standalone document focused on visual evidence.

Image Quality in PDFs

• QuickInspect QuickInspect only -- the PDF export options of a record include an Image Quality slider; lower it for a smaller file.
• YachtInspect YachtInspect only -- images are automatically compressed during report generation to a maximum of 1200 x 1200 pixels, JPEG, 80% quality.

Either way, the original photo is not modified.

Using the Image Table Element YachtInspect only

In the Report Designer, the Image Table predefined element displays photos in a grid layout within your report:

• Columns: 1 to 4 columns
• Numbering: optional sequential numbers on each image
• Descriptions: optional description text below each image

Add an Image Table element from the Element Palette, then configure the column count and display options in the Properties Panel.
