HSE Management Tutorial
QuickInspect and YachtInspect provide tools for managing findings, inspections, and corrective measures. This tutorial covers creating findings with all available fields, finding statuses, inspections, corrective measures, the location hierarchy, GPS/NFC tagging, comments, and due dates.
Creating a Finding
- Navigate to the Findings tab (the second tab in the bottom navigation bar).
- Tap the Add button to create a new finding.
- Fill in the finding details.
Finding Fields
Each finding supports the following fields:
| Field | Description |
|---|---|
| Title | Short description of the finding |
| Description | Detailed explanation of what was found |
| Status | One of the 6 finding statuses (see below) |
| Priority | Priority level for addressing the finding |
| System category | The system or area the finding relates to (e.g., electrical, structural, HVAC) |
| Location | 5-level hierarchical location (see Location Hierarchy section) |
| GPS coordinates | Automatically captured or manually entered geographic position |
| NFC tag | Link a finding to a physical NFC tag for location-based tracking |
| Photos | Attach one or more photos as evidence (see Photo Documentation) |
| Comments | Add text comments for discussion and notes |
| Corrective measures | Actions required to resolve the finding |
| Due date | Deadline for resolving the finding |
| Cost | Estimated or actual cost associated with the finding |
Tip
Attach photos to findings immediately when you discover issues. It is easier to capture visual evidence on-site than to recreate it later.
Finding Statuses
Findings progress through 6 statuses that track their lifecycle from identification to resolution. Use statuses to filter and prioritize your work in the Findings tab.
The Location Hierarchy
The location system uses a 5-level hierarchy to precisely identify where a finding was discovered. Each level narrows down the position:
- Level 1: Top-level area (e.g., building, vessel, site)
- Level 2: Zone or section within the top-level area
- Level 3: Specific room or compartment
- Level 4: Sub-area within the room
- Level 5: Exact position or component
This hierarchical system lets you filter findings by any level of the location tree, making it easy to see all issues in a particular area.
GPS and NFC Tagging
GPS
When creating or editing a finding, the app can capture your current GPS coordinates. This is useful for outdoor inspections or large sites where precise geographic positioning matters.
NFC
Link findings to physical NFC tags placed at specific locations. When you scan an NFC tag, the app associates the finding with that physical location. This is useful for recurring inspections where you check the same points regularly.
Note
NFC tagging requires a device with NFC hardware. Most modern smartphones support NFC.
Comments
Add comments to any finding to record observations, decisions, or follow-up notes. Comments create a chronological discussion thread on the finding, making it easy to track communication history.
Corrective Measures and Due Dates
For each finding, you can define corrective measures -- the actions needed to resolve the issue. Combine these with a due date to set clear expectations for when the resolution should be completed.
This workflow supports accountability:
- Identify the issue (create the finding).
- Define what needs to be done (corrective measures).
- Set a deadline (due date).
- Track progress (update the status).
Inspections
Inspections provide a formal structure for grouping findings:
- Status: Open, InProgress, or Closed
- Templates: Inspections can be created from templates for consistency
- Signatures: Capture signatures to confirm inspection completion
- Attachments: Attach supporting documents to the inspection
Inspection Workflow
- Create a new inspection (optionally from a template).
- The inspection starts with Open status.
- As you work through the inspection, update the status to InProgress.
- Add findings as you discover issues during the inspection.
- When the inspection is complete, add signatures and set the status to Closed.
Warning
Once an inspection is closed and signed, changes should be carefully controlled to maintain the integrity of the inspection record.
Findings in Reports
Findings data flows into the Report Designer through the Findings Table predefined element. This element supports configurable columns (ID, title, status, priority, system, location, description, date, comments, cost, images), filtering, and sorting. See the Report Designer Tutorial for details.
Next Steps
