Team Management Tutorial
QuickInspect and YachtInspect support team collaboration through role-based access control, seat management, and QR code invitations. This tutorial covers user roles, the admin user management page, inviting members, seat limits, assigning users to products, and permissions.
User Roles
There are four user roles, each with a distinct color in the interface:
| Role | Color | Description |
|---|---|---|
| Admin | Orange | Full access to all features, team management, company settings, and branding |
| Key User | Blue | Can manage reports and templates, but cannot manage team members or company settings |
| Standard | Green | Can create and manage their own reports and export PDFs |
| Free | Gray | Limited access for viewing and basic usage |
Note
There is no dedicated "Settings" screen. All settings, including team management for Admins, are accessed through the Profile tab (the fifth tab in the bottom navigation).
Admin User Management
Admins have access to a user management page where they can:
- View all team members and their roles
- Change a user's role
- Remove users from the company
- Monitor seat usage against the company's seat limits
To access user management:
- Go to the Profile tab.
- Open the company/team management section (visible only to Admins).
- The user list shows each member's name, role, and status.
Inviting Members via QR Code
Instead of traditional email invitations, you can invite new team members using a QR code:
- As an Admin, go to the user management section in the Profile tab.
- Generate an invitation QR code.
- The new team member scans the QR code with their device.
- They are added to your company with the appropriate role.
Tip
QR code invitations are especially convenient for on-site teams. Print the code or display it on a screen and let team members scan it during onboarding.
Seat Limits
Your company plan includes a set number of seats for each role tier:
- maxStandardSeats: The maximum number of Standard users your plan allows.
- maxKeyUserSeats: The maximum number of Key User seats your plan allows.
When seat limits are reached, you cannot add more users of that role tier until you upgrade your plan or remove existing users.
Admins can monitor current seat usage from the user management page.
Assigning Users to Products
Users can be assigned to specific products (vessels, buildings, assets) to control who has access to which inspection items. This is managed from the product detail view or the user management page.
Permissions Overview
- Admins can manage all users, company settings, branding, templates, and reports.
- Key Users can create and manage company templates, create and edit reports.
- Standard users can create their own reports and export PDFs.
- Free users have limited access.
Warning
Only Admins can change user roles, remove members, or adjust seat limits. If you need these capabilities, contact your company's Admin.
