QuickInspect: Your First Inspection
This guide walks you through one complete inspection: create it, work through the checklist, raise corrective actions, complete it, and export a signed PDF.
Before You Start
- A Standard or KeyUser seat -- Free/Basic users cannot create inspections.
- At least one inspection template in your company. Templates are built by KeyUsers and define the questions, the template type (standard, compliance, installation or toolbox talk) and whether the inspection repeats. See Inspections & Toolbox Talks.
- The right project selected -- a new inspection always belongs to your current project.
Step 1: Create the Inspection
- Open Inspections from the bottom bar (or the Inspections tile on the home screen). You land on the inspection calendar.
- Tap + New inspection.
- Fill in the required fields: Title, Template, Location and Due date. A description and linked assets are optional.
- Save.
You are assigned to the inspection automatically. To add colleagues, open โฎ More options โบ Assign User.
Step 2: Work Through the Checklist
The inspection has three tabs: Details, Inspection and Actions.
- Tap Start inspection. The inspection moves to In Progress as soon as you answer the first question.
- Answer each question. Depending on the template, questions are yes/no (Yes / No / N/A), compliance checks (Compliant / Non-compliant / N/A), choices, numbers, star ratings, dates or free text.
- Add a comment with + Add note where it helps.
- Add evidence with Upload Image. If the template asks for photos, a counter such as 1/2 photos shows how many are still needed.
Tip
No signal on site? Keep going. Answers are saved on the device and sync when you are back online, and photos taken offline count towards the photo requirement while they wait to upload.
Step 3: Turn Problems into Actions
When something needs fixing, create a corrective action:
- Tap + on the Inspection or Actions tab. The action form opens already linked to this inspection.
- Give it a Title, Description, Priority (Critical, High, Medium, Low or Information) and a Due Date.
In a compliance inspection, every Non-compliant answer needs a comment. When you complete the inspection, each non-compliant answer is listed on the Actions tab, where Create Action from Finding turns it into a corrective action.
Actions then live on in the Actions module with their owner, status and due date -- see HSE Management.
Step 4: Complete the Inspection
On the last question, tap Complete inspection. QuickInspect checks that:
- all mandatory questions are answered and required photos are attached,
- every non-compliant answer has a comment (compliance templates), and
- no actions are still open -- actions waiting in To verify count as open too.
If anything is missing, the app tells you what. Once it passes, the inspection is Completed and you see a confirmation with Create PDF report. If the template repeats, the next inspection is created for you.

Need to change a completed inspection? A KeyUser can reopen it with Reset Status in the โฎ menu.
Step 5: Sign and Export the PDF
- Open โฎ More options and expand PDF Report Configuration. Here you choose whether to include comments, help texts, signatures and other actions, and the image quality.
- Switch on Include Signature(s) and tap Add signature. Sign on the screen, and add a Display Name and a description (for example "Inspector" or "Site manager").
- Add further signatures the same way -- the inspector, the site manager and a contractor can all sign one report.
- Tap Generate PDF. When it is ready, Download PDF becomes available.
Tip
Tick Save persistently when you sign and your signature is stored in your profile, ready to reuse on the next report.
Toolbox talks work differently: instead of signing the PDF, every attendee signs on the Details tab before the talk can be completed, and those signatures are printed in the PDF automatically. See Managing Inspections.
