YachtInspect: Team Setup
This tutorial guides you through setting up your survey team in YachtInspect. You will learn about user roles, how to invite surveyors and team members, assign them to vessels, and manage seat limits.

Prerequisites
- A YachtInspect account with Admin privileges
- An active subscription (Standard, Key User, or Admin plan)
Step 1: Understand User Roles
YachtInspect has four user roles, each with different access levels and pricing:

Step 2: Access User Management
- Tap the Profile tab in the bottom navigation bar.
- As an Admin, you have access to user management features through your company settings.
- Here you can view all current team members, their roles, and their assigned vessels.
Step 3: Invite Team Members
YachtInspect uses QR code invitations to add new team members:
- Navigate to the team management area in your company settings.
- Generate a QR code invitation.
- Share the QR code with the surveyor or team member you want to invite -- they can scan it with their device.
- The invited person will be prompted to create an account (if they do not have one) and will be added to your company.
Tip
QR code invites are the fastest way to onboard new surveyors. The invitee simply scans the code and follows the prompts to join your organization.
Step 4: Assign Roles
- Once a team member has joined, navigate to your team member list.
- Select the team member whose role you want to change.
- Assign the appropriate role:
- Free -- For vessel owners or stakeholders who need view access to survey reports
- Standard -- For surveyors who conduct vessel inspections and create findings and reports
- Key User -- For senior surveyors who need to create templates and manage content
- Admin -- For business managers who need full control over the organization
Warning
Each paid seat (Standard or Key User) counts toward your subscription's seat limit. Make sure your plan has enough seats before assigning paid roles.
Step 5: Assign Users to Vessels
- Navigate to the vessel you want to manage (Profile > Change Project or through the Lists tab).
- Open the vessel's settings.
- Add team members to the vessel so they can access its findings, reports, and data.
Note
Users can only see findings and reports for vessels they are assigned to. This lets you control access across different vessels and client projects.
Step 6: Configure Security Settings
For organizations that require additional security:
- Go to your Profile tab.
- You can enable the following security features:
- Two-Factor Authentication (2FA) -- Adds an extra verification step at login.
- Biometric Login -- Use fingerprint or face recognition for quick access.
- As an Admin, you can enforce 2FA for all team members in your company settings.
Tip
Enforcing 2FA across your organization ensures that all surveyors use an extra layer of security when accessing vessel inspection data.
Step 7: Manage Company Branding
Admins can configure company branding that appears on survey reports:
- Access your company settings through the admin area.
- Upload your company logo and set your organization's details.
- This branding will be applied to all survey reports generated by your team.
