YachtInspect: Templates and Reports
Note
Report templates and the Report Designer are part of YachtInspect only. QuickInspect creates its PDF reports directly from each inspection, incident or risk assessment -- see Your First Inspection.
This tutorial takes you from an empty Reports list to a finished, shared survey report: choose a template, build the report in the Report Designer, and generate the PDF.

Before You Start
- Select a vessel. A report belongs to a vessel, and it cannot be saved until one is selected.
- Record your findings first (see Your First Vessel Inspection). The report elements pull their data from them.
- Check your role. You need a Standard seat or higher to open and create reports. Choosing a template and working in the Report Designer are for KeyUsers.
- Be online. Generating the PDF downloads your photos and uploads the finished file.
Step 1: Open the Reports Tab
Tap Reports in the bottom bar. The list shows the reports for your selected vessel. Filter by type (Photo Report, Progress, Findings, Final, Damage Report) or status (Published, Draft), or search by name. Each card shows whether the report is published and whether a PDF exists.
Step 2: Start a New Report
Tap + to open New Report.
- Classic reports: Photos creates a photo report, and Findings starts a guided findings report (define the report details, filter the findings, sign) -- including a Final Handover Report option.
- Designer reports: under Select Template, pick a template and tap Create Report with Template.
System and company templates
- System templates are provided by YachtInspect: Findings, Photo, Progress and Final Report. They carry a System badge.
- Company templates are built by your KeyUsers. Your company's default template is pre-selected.
Each template row has a menu with Duplicate, Version history (with Restore), Set as Default and Delete. Every save of a template keeps a version.
Step 3: Build the Report in the Report Designer
The designer opens with the template's pages. The report type (Photo, Progress, Findings, Final or Damage Report) is set under Settings › Basics › Report Type.
The element palette
Drag an element onto the page, or tap it to add it.

The Signature Block uses the signature saved in your profile.
Pages and layout
- Add, duplicate, delete and reorder pages; move elements between pages.
- Page format A4, Letter or A3, portrait or landscape (also per page), with margins, header, footer and page numbers.
- Snap elements to a 5, 10 or 20 pt grid.
- Undo/redo up to 50 steps (Ctrl+Z / Ctrl+Shift+Z on a keyboard).
- Protect a template with Lock template structure or Strict layout.
Branding
Show your company logo (or a custom logo), use your company colour and font, and add a watermark.
The AI assistant
The AI panel (a side panel on desktop, the AI tab on mobile) can change the layout, analyse your findings, and analyse images. Type or dictate a request, or attach an image or PDF. Quick Actions such as Build Findings Report fit the report type. Nothing changes until you tap Apply Changes -- AI can make mistakes, so review its proposals.
Tip
Use Test to build a test PDF and check the layout before generating the real report.
Step 4: Save, Publish and Generate
The save menu offers three options:

| Generate & Save Report | Creates the PDF and saves it to your reports |
Note
Save a draft first when you start a brand-new report, then publish or generate.
The finished report appears in the Reports list with a PDF badge.
Step 5: Download and Share
Open a published report with a PDF to see the PDF Report screen:
- Download PDF saves the file.
- Share sends a link to the report. A QR Code element in the report points to the same link (it only works in the final PDF, not in a test PDF).
From the report card menu you can also Edit, Copy Report, Publish/Unpublish and Delete a report.
Managing Templates (KeyUsers)
- Save your design as a company template with Save Template As.... Only platform administrators can overwrite system templates.
- Set a company default so new reports start from it.
- Use Version history to restore an earlier version.
